If a company decides to use a virtual information room, there are two primary aspects of the platform that require secure storage for documents or files and easy access to team members. Depending on the industry and project as well as the number of users, and their duration of the project, there are a variety of pricing options for a VDR, such as per-page pricing, per-user pricing storage-size pricing or a fixed monthly cost.
Many vendors charge based on the number of gigabytes. This pricing structure may be suitable for projects with relatively small text file sizes but can be costly for companies that trade large video or audio files.
The cost of a VDR is also dependent on the access to administrative functions granted to the system. Some providers permit unlimited admins, which can make the platform pricier; however it streamlines workflows and speeds up due diligence.
Integration with other platforms, such as Slack or Microsoft Office (for instance), can improve functionality and user experience. These integrations are typically more expensive than those that don’t integrate.
The duration of the project is likely to affect the price of a virtual data room, since a vendor usually offers an initial price for specific number of months and then charges month-to-month following that. Some vendors, such as DealRoom offer discounts for M&A transactions and provide the option of rescinding the contract after the transaction has been completed. This option is more beneficial for businesses who aren’t sure of how long their project will last.
